How to add a NotebookLM notebook as a source in Gemini, and fix it when it breaks

Google quietly shipped a real cross-product feature in January 2026: you can attach a Gemini Notebook (formerly NotebookLM) notebook as a grounding source inside a regular Gemini chat or a custom Gem, so Gemini answers from your documents instead of guessing. Google's own setup instructions stop at a single sentence for chats and a sample prompt for Gems, Workspace admins keep flipping the wrong toggle, and a cluster of unresolved bug reports on Google's own developer forum describe the connector silently breaking. Here's the exact setup, the admin setting almost every third-party guide gets wrong, and what's actually documented about the failures as of today.

Quick answer

In a Gemini chat, click the "+" button in the prompt box and select NotebookLM to attach one or more of your notebooks as a source, per Google's own Workspace Updates announcement. Gemini then answers grounded in that notebook instead of (or alongside) open-web knowledge.

In a Gem, Google has never published an exact click path, only a sample prompt ("add a notebook to a Gem"). Third-party guides disagree on the UI steps; treat any specific instructions, including ours below, as best-effort until Google documents it directly.

For Workspace accounts, this is controlled by the Gemini Notebook service toggle in the Admin Console, not the Gemini app toggle. Google's own help page states this explicitly, and it's the single most common setup mistake.

Real, unresolved bug reports span most of 2026: grounding failures, fabricated citations, and Gem edits silently dropping the notebook attachment, all on Google's own AI developer forum, with no public Google acknowledgment we could find as of today.

What this feature actually does

If you've lost track of which Google product called "notebook" does what, our breakdown of Gemini Notebook vs. Gemini vs. Notebooks in Gemini covers the three-way naming collision in detail. This feature connects two of those three: it lets a Gemini Notebook (the standalone NotebookLM product) notebook act as a grounding source inside the general-purpose Gemini app, either in an ordinary chat or inside a custom Gem. Instead of Gemini answering from general web knowledge, it answers from the specific sources you uploaded to that notebook, with the same citation discipline NotebookLM is known for.

Per Google's own Workspace Updates post, the capability was already live for personal/consumer Google accounts before 27 January 2026, and that post specifically announced the rollout to Workspace Enterprise and Education accounts "of all ages," starting 20 January 2026 on a Rapid and Scheduled Release track that could take up to 15 days to fully appear. Google's post flags one compliance wrinkle worth knowing: using a notebook as a source inside Gemini is governed by NotebookLM's own compliance certifications, which aren't identical to the Gemini app's, relevant if your organization checks product-level compliance before enabling AI tools.

How to add a notebook to a Gemini chat

This part is documented directly. Google's own announcement states it in one line: "Add your NotebookLM notebook(s) to a chat in Gemini by selecting NotebookLM via the '+' button in the prompt box." In practice: open a chat at gemini.google.com, click the + icon next to the prompt field, choose NotebookLM (the menu entry may say Gemini Notebook depending on your account's rollout stage) from the list of sources, and pick the specific notebook you want Gemini to ground its answers in. You can attach more than one notebook to the same chat.

How to add a notebook to a Gem (and why Google's own instructions stop short)

This is the part most coverage, including some of our own earlier research, gets less precise about than it should. Google's announcement lists "Add a notebook to a Gem" only as an example prompt you can type at the Gem, not as a documented UI click path the way the chat instructions are. We checked Google's Workspace blog post and its Gemini Notebook help center directly and found no step-by-step Gem-attachment walkthrough from Google itself. Third-party guides fill the gap with conflicting instructions, some describing a Knowledge section inside the Gem editor, others describing the same "+" button flow as chats. Rather than present an unverified click path as fact, the honest answer is: the most reliable method today is typing the attachment request directly as a prompt to the Gem, matching the one instruction Google has actually published, and re-checking the Gem's configuration afterward since edits have been reported to silently drop the attachment (see below).

The Workspace admin setting almost everyone misses

If you're a Workspace admin and the NotebookLM option simply doesn't appear in anyone's "+" menu, this is almost certainly why. The "Admins:" section of Google's own Workspace Updates announcement states it directly: "Notebooks as a source within Gemini is determined by the NotebookLM service setting within the Admin Console and is not controlled by the Gemini app service setting." That's a genuinely easy mistake to make, since most admins managing Gemini access are already in the Gemini app's own service toggle and have no reason to expect a second, separate switch governs this specific capability.

The correct path, per Google's Workspace Help page for the setting: Admin Console → Menu → Generative AI → Gemini Notebook → Service status tab, then set it to "On for everyone," "Off for everyone," or override it per organizational unit or group. You'll need the Gemini Settings admin privilege to see this page. Toggling the Gemini app's own service status, which is where most Workspace rollouts start, has no effect on whether notebooks can be attached as a Gemini source.

What breaks, and what Google hasn't said

This feature has a documented history of breaking in ways Google hasn't publicly addressed. We pulled these directly from discuss.ai.google.dev, Google's own AI developer forum, not from secondhand blog summaries:

  • Grounding failures after the 19 February 2026 Gemini 3.1 Pro update. A thread titled "Critical Regression: Gemini 3.1 Pro Update (Feb 19) Completely Broke NotebookLM's RAG & Grounding" documented Gemini answering "Based on the provided sources, there is no mention of anyone named Fukuzawa" despite the source being present and visible in the sidebar; one poster in the thread reported files near 380,000 words failing to index, unconfirmed by other users, alongside retrieval degrading across notebooks with roughly 300 sources. A user claiming to have shipped a fix posted on 27 February 2026, and two others confirmed retrieval working again that day. The same thread picked back up in August 2026 with a new, separate complaint, Gemini pulling material outside the provided sources again, with the most recent post on 26 August 2026 still unresolved.
  • Gem edits silently dropping the notebook attachment. A thread titled "Gems is giving me headaches" (27 February 2026) describes editing an existing Gem causing it to drop its NotebookLM attachment back to a plain Google Drive link, and the Gem becoming unshareable after re-adding the source. A single, unreplied report, so treat it as a real but unconfirmed-at-scale pattern.
  • Consumer Pro accounts losing the connector entirely. A thread titled "Gemini Pro no longer able to use NotebookLM notebooks as a source" ran from 26 March through 13 August 2026 with multiple users confirming the same symptoms and zero Google staff replies: an empty source panel while Gemini still produces citations anyway, and one unconfirmed claim of a silent drop in the per-notebook source cap from roughly 300 down to 50.

What we could not find: any Google acknowledgment of these reports, a status-page entry, or a confirmation that the underlying issues are resolved. Forum activity in the threads above runs through 26 August 2026 at the latest; we found no newer thread reporting either a continued problem or a fix as of today. If you're evaluating this feature for anything where grounding accuracy matters, test it against your own notebook before relying on it, and don't assume a quiet forum thread means the issue went away.

Source limits: does attaching via Gemini have its own cap?

NotebookLM itself has documented per-plan limits on sources per notebook and words per source; see our full breakdown of NotebookLM's source limits for the current numbers by plan. What we could not confirm from any primary source is whether attaching a notebook as a Gemini source imposes the same caps, a reduced cap, or no cap at all distinct from native NotebookLM. The one data point suggesting it might differ is the unconfirmed forum claim above (a user reporting their effective cap dropped from roughly 300 to 50 sources specifically when the connector broke), which we flag as unverified rather than a documented limit.

Workarounds while the connector is flaky

  • If answers start drawing on outside knowledge instead of your sources, try explicitly instructing Gemini to restrict itself to the attached notebook in your prompt; several forum users report this as a working, if manual, mitigation. It isn't an official fix and won't help if the notebook isn't being read at all.
  • If you just edited a Gem that has a notebook attached, re-open its configuration and confirm the attachment is still there before trusting its next answer, per the reported pattern of edits silently dropping it.
  • If fidelity matters more than convenience (legal, medical, or any high-stakes use), work inside Gemini Notebook directly rather than through the Gemini-chat connector; the native product doesn't carry the same reported regression history.

Who can actually use this

Per Google's own announcement: personal Google accounts, Workspace Individual subscribers, and Workspace Enterprise and Education accounts, with Google's admin documentation specifically noting access and features can vary by account age within Education deployments (Google's admin help site maintains a dedicated "Gemini Notebook features & access by age" reference page for exactly this). If you administer a Workspace domain and don't see it yet, check the service status toggle above before assuming it hasn't reached your organization; the rollout window itself can take up to 15 days even after Google enables it.

People also ask

How do I add a NotebookLM notebook to a Gemini chat?

Click the "+" button in the Gemini chat prompt box, select NotebookLM (or Gemini Notebook) from the source list, and choose the notebook you want. This exact method is documented directly by Google's own Workspace Updates announcement.

Why can't I add NotebookLM as a source in Gemini on my work account?

Most likely the Workspace admin toggle is off, and it's a separate setting from the one most admins check first: the Gemini Notebook service status under Admin Console > Generative AI, not the Gemini app's own toggle. Google states directly that the Gemini app toggle has no effect on this feature.

Why does Gemini say it can't find information that's clearly in my attached notebook?

This matches a documented regression pattern reported on Google's own developer forum through at least August 2026, including a well-known case where Gemini denied a source contained specific information that was visibly present. Google hasn't publicly acknowledged the bug as of this writing; try restricting your prompt explicitly to the attached source as a workaround.

Does adding a notebook to a Gem actually work?

The capability is real, but Google has only published a sample prompt for it, not a documented UI click path, unlike the chat version which is explicitly documented. Multiple third-party guides describe conflicting steps. There are also unresolved reports of Gem edits silently dropping the notebook attachment.

Is NotebookLM-as-a-Gemini-source available on the free tier?

Google's announcement covers personal Google accounts generally, Workspace Individual, and Workspace Enterprise/Education; it doesn't single out a separate free-tier restriction the way some NotebookLM features do. If you don't see the option, check for a Workspace admin block first.

What's the difference between this feature and Notebooks in Gemini?

They're different products with similar names: this feature lets you attach a Gemini Notebook (the standalone NotebookLM app) notebook as a grounding source. "Notebooks in Gemini" is a separate project-organization feature inside the Gemini app itself. See our full comparison of all three similarly-named Google products for the complete breakdown.
